How to make an invoice as a freelancer

An invoice is the last step of a job and the one that decides when you get paid. Clients pay faster when an invoice is clear, complete and arrives right after the work. A missing detail, such as a purchase order number or bank information, can push payment back by weeks. Requirements for invoices and tax differ by country, so check what applies to you.

Agree terms before the work

Settle the payment terms when you agree the job: how much, when you will invoice and how long the client has to pay. Ask whether they need a purchase order number or a specific contact on the invoice. It is much easier to agree this at the start than to chase it at the end.

Make it complete and clear

Include everything their accounts team needs: both parties’ details, a unique invoice number, the date, clear line items, totals with any tax your local rules require, the due date and how to pay. An invoice that answers every question gets processed instead of queried.

Send it straight away

Invoice as soon as the work is delivered, or on the agreed schedule for longer projects. Every day you wait is a day added to when you get paid. Send it to the right person and ask them to confirm receipt.

Follow up politely and on time

If the due date passes, send a short, friendly reminder with the invoice attached. Keep a simple list of what is outstanding. Apps can track this and send reminders for you. Compare them in invoice maker apps and apps for freelancers.
